Default How do you keep track of what stamps you have?

I have a problem with organization. I love everything to be too organized. I do not find it to be a problem but my kids & Dh thinks I nuts. This site has made me want to keep my stamps even more organized. My family does not think that to be possible . Anyway... Can I get your ideas on how you keep track of what stamps you have and how to find them.

I have a 3 ring folder divided in 3 sections
1.)An alphabetized list so when I can access the gallery I can remember what sets I have. The list also has a column to tell me in which drawer I can find that set.
2.) Inks
3.) I stamp all of the sets with the names and how many peices on half of a piece of paper.

They are all in page protectors in the binder according to which drawers they are in.

Ok...let me say this...I need you at my house desparately!! I have not even thought of being that organized!! I just remember what I have because I am constantly looking at them. I have it in my head. Of course, whenever its time to make a card I have to pull each one out to look and see what set I want to use. That is amazing that you keep up with them like that! That is my project for this week-to stamp all of my sets like that and keep up with them in a binder! That is awesome that you do that. I am in awe!! For sure...

I also keep a page in a binder for each set I have, but rather than having to stamp it out, I save time by taking a photocopy of the label sheet when I get the set (before I've cut & mounted it) and put that in my binder.

I actually have an Excel Spreadsheet for inventory, but it doesn't list each individual stamp in each set... just the set names and when i got it, etc.

WOW! You ladies are organized!! The best I've managed to do is have seperate shelves for current and retired sets. But I look at them so much I don't have any questions about what I have!

I need to be more organized.. now think tomorrow will sit down and organize them and maybe just take a photocopy of the catalog page they are on then will know the price too and put that in the binder. I have all my cardstock organized by color family and in individual folders in an crate, which I am going to update by getting a rubbermaid drawer, saw some that hold the hanging file folders then the dust and flies will not rest on top of the cardstock!

I'm overly organized. I have a book and an Excel Workbook (not just one sheet) and I have a catalog that is mine and it's marked.

First I number the sets. Then I take a piece of cardstock and depending on the size of the set I have 3 different page layouts. One holds just larger sets and the other 2 hold two sets per page. I stamp the set on the page after numbering it. Then I add the set to the Stamp Sets page in the Excel Workbook. Then I mark the catalog so if I'm ordering at work, I don't order a second set. What's scary ~ I've only been a demo for a year and I just hit 70 sets. I also keep the sets in clear containers that are marked with their numbers i.e. 1-19, 20-36, etc. This way, even my daughter can look through my book, pick out a set, and go right to the box it's in. It's great!

I try to stay organized but can't keep up if I go on a buying spree! I stamp all my images on white cardstock and keep them in a 3-ring binder. I alphabitize them and cross reference them. For example:
I have the Sketch It set so it is on several pages:
Stampin Up - I have each image stamped
Flowers - I stamped the images showing a sun flower
Christmas - I stamped the images showing a x-mas wreath & the sayings
Words & sayings - I stamped only the verses
Bows - I stamped on the bow
Halloween - I showed how to stamp only 1/2 of the heart on the edge of a page and use the 3 dots to make the face
Hearts/Valentines - I stamped the heart
Leaves - I stamped the leaves
Misc. - anything else

This is probably overkill on my part...my stamping buddies say I stamp with a capital "A". I just find that this way I don't have to remember what is in each set. If I am doing a card and I need a tree or a flower then I just turn to this section and I see them all, regardless of what set they are in! It is a system that really works for me.

Funny that this topic come up.


There's going to be a stamp convention in July and I have a habit of buying duplicates of things so I decided to kick butt and organize all of my supplies.

So I went and bought a couple packages of 3 x 5 note cards at $ Tree and had a friend at Kinko's drill a couple of holes in them so I could use those ring things in case I needed to take the cards in or out. On one side of the card I stamped the image and on the backside I wrote the name/company of the stamp. I did the same with all of my punches and inks. I organized the stamped note cards as I have organized my actual stamps. This is real handy when shopping and going to conventions because I can just throw it in my bag and refer to it as needed. At home I created spreadsheets similar to what others have done to keep track of my supplies.

Default I use Excel, too

Since I now have about 40 sets I was thinking about breaking the SU out of my main RS Excel book, but right now I have an complete stamp inventory. The columns are Image (name), Words, Manufacturer, Stock Number, Location (where it is in my stash), and Notes. I can send a screen shot to anyone who wants to see.

Since all my SU sets are still in cases, I just have them all together. I am trying to figure out some way of storing them in a more organized manner. Right now they are kind of grouped by theme. My problem is with the cases being different sizes based on the size of the set I just can't seem to find a system I like.[/quote]

I WANT TO TELL YOU WHAT I DO:

EVERYTHING I BUY I HIGHLIGHT IT IN MY CATALOG. ANYTHING FROM INKS TO PAPER AND ETC. ALL I HAVE TO DO IS OPEN MY BOOK AND I CAN SEE WHAT I HAVE. NOW FOR RETIRED STAMP SETS I PUT A HAPPY FACE STICKER ON THE END OF THE BOX SO WHEN I LOOK UP TO SEE ALL MY SETS I IMMEDIATELY KNOW WHICH ONES ARE CURRENT AND WHICH ONES ARE RETIRED. THIS IS JUST WHAT WORKS BEST FOR ME.

I keep track of which sets I have by using a small address book that I keep in my purse. I list the sets in alphabetical order and then I don't order duplicates. As far as organizing them in my stamp room, I am still in the process of finding something that will work. I started stamping them out on paper and putting it in a 3-ring binder and putting and sticker on each set so I know which drawer they go in, but it seems to be taking forever.

I love the idea of putting the smiley sticker on the stamp case to designate retired. That is a great idea!!

I also highlight my book - sets, markers, inks, refills, paper, etc. Everything I have is highlighted. It makes it so much easier when ordering.
