Default Organizing your stamps

Does anyone organize or "inventory" their stamp sets on their computer? I started doing this on Excel recently and I was curious if anyone else did...

pros or cons...
any tips or tricks?

I do....for now I have them in an Excel spreadsheet by Mft with an item number if they have one. So far it works....

No, I haven't done this yet, but I plan to! I'm an SU demo and I have hundreds (literally) of SU stamp sets - many more retired than current (and I've only been at it for 4 years!). I keep all my retired sets because I do use them!

I did purchase a spreadsheet of all the SU sets every released, with details about which catalog they're in, what page number, date retired, etc. There's a place to mark if you own it, what you paid, date you got it, etc. I'd love to have time to put in all my stamps, but I'm too busy stamping and designing cards for my Stamp Camps! <g> If you're interested, I can give you her email. She charges $9.95 for it and updates it every time a new catalog comes out. Very cool!

Here is a list that I found here on SCS. It is updated through Spring 2008. This will at least keep you from retyping in the sets. Happy Stampin'!

I have almost all my stamps in an excel file with photos of the stamp or set (I have every company in there not just SU sets) and each stamp has a list of key words that I have chosen for it e.g. for the Garden Whimsy set my key words would be flower, butterfly, ladybird (ladybug to you American ladies) and snail. Then I can do a search with the find tool for all the stamps with a certain key word and it will bring them all up. That way if I'm looking for a particular type of stamp I can see all the ones I have rather than trawling through several pages of my index folder that I originally stamped my stamps in.

It took me ages to get it set up and I do have to remember to add new stamps as I get them but I think it's been a real time saver when I want a certain stamp desperately.

i have a running list of all the stamp sets i own saved in my computer.

i print a copy and keep it in my catalog for reference.


i also have an 'inventory' of my stamp sets. i stamp each set on a sheet of copy paper (or if i remember, i just scan it). i keep this at my stamping desk for quick reference when looking for a certain image or one that will coordinate. i also include the price and # of stamps in the set.

I do, I have program for Rubber Stamping form LNS and I have a complete inventory right down to packs of paper.

For insurance purpose, I update it as needed and copy to CD for the our Agent.

I think it is a good idea to have al list of what you have. I recently "cataloged" my stamps. So far I only have the stamp set - origingal date- price - catolog it was in and the year it retired if applicable. I still need (want) to do all of the accessories

It is all on an excel spreadsheet and I want to make it more detailed so that if I want to find something quick. My winter goal is to also have a picture index of the sets.

Lucky for me I have only about 70 SU sets and a bunch of Bella's so it shouldn't take that long. LOL!

The program I have has a spot to add a photo of the set which is really great. That is my Winter project!

It also has places for inks, pens, paper and other things. It has several of the company's already loaded and you can customize the reports you print out.

Did you purchase this software or make the spreadsheet yourself? Sounds like a great system. I've been using a pretty low-tech method with spiral notebooks, listing sets alphabetically (e.g., page 1 is A, pg 2 is B, etc). Not very flexible, but it does help prevent buying the same set twice (which I have done on several occasions, owing to my stamp collection being in drawers where I can't readily see them).

If it is available for purchase, I would love to know where to get it. Thanks for the info :-)

Wow!! Ok, ya'll have inspired me to start charting all my stamps. Not a job I am looking forward too, but I know that it needs to be done. OOoyyiieeeee.....
I just had an ephiany...... I think that I can go through all of my old catty's and at least get a start on what I have, since I marked the ones have.

Ladies - the file posted to this thread is a FOR SALE item, and not shareware. it should not be posted to a public forum. i've notified the mods and it should be deleted. i have a similar program i sell - but this isn't it. it's from another small-business owner. creating these files is a TON of work, and i hate that it's been posted here.

Cat, I agree. I recall the last time somebody shared it on here (I think it might have been on the demo side), the mods did delete it. The price of 9.99 is small enough considering there are free updates emailed frequently.

on here not too long ago and someone told me how they use Adobe to keep track of their stamps. Her name was Karen, thank you Karen. I set mine us this weekend and it worked great. I guess I'm just wondering if there is yet a better way before I spend countless hours scanning pictures. Thank you, Jaime

A month or so ago I started doing what saffivort suggests and doing keywords on a excel sheet...but I copy and pasted the index cards from each stamp set so I could really see what it looks like (who can remember?). I am about half way through my sets, but I attached a small piece of my catalogue to this thread.

I don't have an inventory of my stamps on my computer. But I do have a little notebook with the copies of the Stampin Up sets in it in the order they are kept in my cabinet. I stamped each um stamp on a piece of white cardstock and slid it into the cd cases that I keep the ums in.

I keep a list on the computer in categories, and then I stamp each set on a page and keep it in a notebook in categories, with its location listed in the notebook. It took a long time to set up, but it's so handy when looking for a certain stamp you know you have but don't know what set it's in. I make it a practice that once I mount the stamps, I will not use them until they are indexed. What a timesaver!

I have one of these partially done in Excel - I have separate worksheets for Stamps, wheels, ink, ribbons.

Annie - i found a free program you can download off the internet that works great for fonts. it's called The Font Thing. it's not a spreadsheet, but it gathers your fonts in one place that's easy to view. you can put text into a box and it will show it in each of the fonts so you can easily pick the one you want to use. and it allows you to group your fonts together by folders that you select. AND it was created by a woman!

I am just now building my stamp sets so I'm sure my system is not the greatest but for now, it works.

I have an index of all of my stamps (one set per page) and put them into a binder. Behind each index I have print outs of inspiration cards that way when I want to use a particular stamp set I can get some ideas quickly. Each stamp case is numbered and that number relates to the index number in the folders. It makes looking for the index easy when I pull a set out or if I find something in the binder I can easily locate the set on my shelf.

I was just thinking....maybe I can put together an access database program to catalog all of my sets. In addition to the set name and number I could also put in keywords and maybe even photos of the individual stamps so that I could easily search for a particular type or style of stamp. Hum....anybody have any input on something like this? It's been a long, long time since I built an access database but I'm sure I could do it. It will take me longer than if I was still actively programming like I used to but it's do-able. Any input somebody might have would be appreciated.

Tanya, I don't know how big of a project this would be for you, but please share your results, when you are finished. I think the original poster, hedonist19 has what looks like a pretty great idea going with her spread sheet. Maybe she will share her tips.

I really don't have but maybe 50 stamps, well, ok maybe less than 100 wood mounted rubber stamps. I do not keep the plastic container they come it. I really don't care much for logging in the supplies. I want to see my supplies. I saw once where someone put up a thin shelf like maybe six inch and stacked the stamps picture out. I really liked this idea. I'd like to see how those of you who have to see it organize.

I do have a stamp inventory in a table. I also have a notebook with every image stamped in it. I am approaching 270 CD's full of stamps. My inventory has the number of the CD that I assigned, stamp company, what images, all the sentiments in that set, how many stamps. If you do an inventory on the computer you can use the search feature to find ie anniversary, birthday, etc. I have found this very useful. I did this project when I unmounted my stamps. It took me 3 months but it finally got done! Now I just have to keep it up.
